We started TaskProof in a care home kitchen, so the check runner was built for the fridge round: big buttons, plus and minus for temperatures, a camera for the delivery, and one tap to the next thing. If a reading is out of range it asks you what you did about it, right there, and that goes on the record too.

Start with a library, not a blank page
Dozens of checks are already written — fridge and freezer temperatures, opening and closing, cooking and hot holding, deliveries, cooling — plus the ones housekeeping and maintenance need: room cleaning, water temperatures, window restrictors, nurse call tests, sluice rooms. Copy one, rename the fridges to match yours, publish.

It does the typing. You do the deciding.

Describe a check, get a draft
Type something like “weekly fire door checks for a 40-bed home” and TaskProof drafts the whole check — the tasks, the frequency, the safe ranges. You read it, change what you like, and only then does it go live.

Point the camera at a label
Photograph the ingredients on a packet and TaskProof suggests the allergens it can see — and shows you the words it read them from, so you can check its working. Upload a certificate and it suggests the expiry date the same way.
It can suggest. It can’t publish, sign or delete anything. Ever.
What the next shift needs to know, and proof they read it
Crisps need ordering. The paperwork’s due. Someone on the floor has a new nut allergy. Write it once and everyone on shift signs that they’ve read it — so nothing important lives on a sticky note, and nobody can say they weren’t told.

Allergens
Every dish’s allergens rolled up from its ingredients. Filter by allergen, print a matrix for the servery or dish cards for the record.

Documents
Certificates, pest control reports, service sheets — filed with an expiry date and a reminder before anything lapses. What you’d hand an inspector.

Issues
A warm fridge or a missed check raises an issue. It closes in two steps: someone fixes it, someone else confirms it. Both names go on the record.
Records nobody can quietly rewrite. Including us.
A compliance record is only worth something if it can’t be tidied up afterwards. So TaskProof is built so that it can’t be — and an inspector can see that for themselves on every record.

Finished means finished
Once a check is signed it can’t be edited or deleted. Made a mistake? The correction is a new entry that says so, and the original stays underneath it, readable, marked superseded.
Two times, both shown
Every record shows when the check was done and how long it took to reach the server. Done in the walk-in with no signal and synced an hour later? It says so. An inspector is entitled to see that gap.
An audit trail with no eraser
The history of who changed what is append-only at the database itself. We can’t rewrite your records, and neither can anyone else.

An agency cook on a Tuesday shouldn’t need an IT request
Most software charges per user, so kitchens end up sharing one login — and then the records can’t say who actually did the work. Our roster is unlimited and free. Add a name in ten seconds. They pick it, they sign, the record names them. And when someone leaves, they stay on every record they ever signed.
“Who did the 6am fridge round on the 14th?” should have an answer.

Built for buildings full of vulnerable people. So it holds nothing about them.
No resident or patient data
By design, and enforced in the code. A note can point at a resident by an internal id, never a name, and anything resident-linked is left out of every audit pack.
No trackers, no analytics
Two strictly-necessary cookies in the app, none on this site. No cookie banner, because there’s nothing to ask you about.
Photos stripped on the phone
Location and camera data are removed from every photo before it leaves the device.
Support access you can see
If we ever need to look inside your account it’s time-limited, needs a written reason, and you can see that it happened.
Kept for seven years
Records are kept seven years by default. You can make that longer. Nobody can make it shorter.
Passwords and PINs hashed
Stored only as hashes. Nobody at TaskProof can read them, and that includes us.
The checks are getting done anyway.
